Why This Role Is Different From a Med Spa-Only Job
If you enjoy aesthetics but want deeper clinical exposure, this is a rare opportunity. You will learn the full spectrum of dermatology—medical, surgical, pediatric, and cosmetic—and build strong fundamentals in skin disease, medications, procedures, safety, documentation, and patient education. As we grow, you will help us develop an aesthetics offering that is grounded in real dermatology and high clinical standards.
Position Summary
This is a true multi-hat role designed for someone who is energetic, reliable, and excited to grow with a small, hands-on team. You will be trained and trusted with meaningful responsibility across three areas:
- Hat 1 – Aesthetics & Skin Care (Advanced Practice Esthetics): Help us build a practical, patient-centered aesthetics offering and skincare retail experience over time.
- Hat 2 – Front Desk & Operations: Phones, scheduling, benefits checks, prior authorizations, patient messaging, checkout, and operational follow-through—especially on days when the physician is out of the office.
- Hat 3 – Dermatology Clinical Support (MA-style workflows): Support clinic flow, rooming, documentation/ scribing, and procedure support consistent with training and clinic protocols.
Ramp-Up Timeline
Because we are a small team, onboarding is intentional and thorough. Most people ramp over 90–180 days as responsibilities expand and confidence grows.
- Days 1–30: Learn front desk basics, phone/EHR workflows, patient flow, and clinic standards. Shadow procedures and start foundational clinical tasks.
- Days 31–120: Own the daily rhythm: faster rooming, stronger documentation support, independent front desk workflows, and reliable follow-through on benefits/PAs and patient messaging.
- Days 120–180: Operate confidently across all three hats. Aim to begin scheduled, protected blocks for aesthetics buildout and service delivery (as demand supports), with increasing autonomy.
Key Responsibilities – Hat 3: Front Desk & Operations
- Answer phones and manage incoming requests with warmth, professionalism, and efficiency.
- Schedule appointments, manage recall/outreach lists, and keep calendars clean and accurate.
- Handle online portal/messages using established scripts/workflows; route clinical questions to the provider/clinical lead per protocol (no independent clinical triage).
- Verify insurance benefits/eligibility and communicate estimates and policies clearly and kindly.
- Process prior authorizations and track them to completion; follow up with payers and patients as needed.
- Check-in/check-out, collect payments, and support a smooth patient experience from arrival to departure.
- Scan/index documents, manage incoming faxes, route results/tasks accurately, and keep the clinic organized.
Key Responsibilities – Hat 2: Dermatology Clinical Support (MA-Style)
- Prepare rooms and equipment; keep supplies stocked and organized.
- Room patients efficiently: review histories/medications, capture vitals as applicable, and tee up the visit for the provider.
- Scribing support in the EHR (provider-directed documentation using templates and clinic standards).
- Assist with dermatologic procedures including surgeries, biopsies, and injections consistent with training and clinic protocols (setup, specimen handling, dressings, and post-procedure instructions).
- Support in-office treatments (e.g., phototherapy workflows) as trained and permitted by clinic policy.
- Process patient specimens and maintain accurate labeling and tracking.
- Instrument processing: clean, package, autoclave, and maintain logs.
Key Responsibilities – Hat 1: Aesthetics & Skin Care (Advanced Practice Esthetics)
- Provide selected aesthetics services within Minnesota scope of practice, your training, and clinic protocols (services will expand as we grow).
- Perform thoughtful consultations: understand patient goals, screen for contraindications, set realistic expectations, and recommend a safe plan.
- Educate patients on pre-care and aftercare; provide clear instructions and follow-up where appropriate.
- Follow safety, infection control, and documentation standards before, during, and after services.
- Support selection and rollout of skincare product lines (education, merchandising, basic inventory tracking, and patient follow-up).
- Help us build a practical menu that fits a real dermatology practice (not a “sell-everything” med spa model).
Marketing support is welcome but must be HIPAA-safe: patient-related content is never captured or posted without written patient authorization and manager/physician approval.
Qualifications
- Active Minnesota Advanced Practice Esthetician (APE) license (required).
- 1+ years experience in aesthetics, dermatology, or a medical office is helpful; strong candidates may be considered with less experience if they demonstrate maturity, excellent service skills, and strong technology aptitude.
- Comfortable working in a multi-hat role: switching between front desk, clinical support, and aesthetics depending on the day.
- Technology-forward and organized: comfortable and fast with EHRs, computers, iPads/iOS, and learning new systems quickly.
- Excellent multitasking skills and able to switch tasks quickly
- Strong communication: clear writing, calm demeanor, and a patient-first approach.
- Reliable and accountable: punctual, consistent, and able to follow through without being chased.
Working Conditions & Physical Requirements
Clinic work requires standing, walking, sitting, and occasional lifting/carrying. This role includes frequent keyboard/computer use and close visual work.
